Key Responsibilities
Planning & Work Structuring
Develop and maintain a centralized department plan covering all initiatives and operational activities.
Translate high-level priorities into structured tasks with clear timelines and ownership.
Ensure all workstreams are properly planned, documented, and aligned with department objectives.
Execution Tracking & Control
Track progress of all tasks, actions, and deliverables across teams.
Maintain visibility on pending, ongoing, and completed activities.
Identify delays, gaps, and risks, and escalate where required.
Ensure deadlines are respected and follow-up actions are completed.
Operational Discipline & Standards
Ensure all meetings result in clear actions, assigned owners, and defined timelines.
Standardize planning formats, tracking tools, and reporting structures.
Maintain consistency in how teams report progress and manage their work.
Promote structured ways of working across the department.
Reporting & Visibility
Prepare weekly and monthly status summaries for the Director’s office.
Provide clear, concise insights on execution status and performance.
Maintain dashboards or trackers that reflect real-time progress.
Office Operations Support
Prepare structured meeting agendas and summaries.
Maintain logs, trackers, and documentation repositories.
Support organization of key internal activities and follow-ups.
Ensure information is well-organized and easily accessible.
Requirement
Qualifications & Experience
Bachelor’s degree in Business Administration, Management, or related field.
3–6 years of experience in planning, operations support, or similar roles.
Experience in structured environments (PMO, operations, or consulting) is preferred.
Exposure to IT, cloud, or infrastructure environments is an advantage.
Skills & Competencies
Strong organizational and planning skills.
High attention to detail and accuracy.
Strong follow-up and task tracking capability.
Ability to manage multiple priorities simultaneously.
Clear and structured communication skills.
Proficiency in tools such as Excel, PowerPoint, and task tracking systems.
Ability to work in a fast-paced and unstructured environment.

Percentage of tasks delivered on time.
Accuracy and completeness of planning and tracking tools.
Timeliness and quality of status reporting.
Reduction in overdue or untracked tasks.
Stakeholder satisfaction on planning and operational support.
Reporting Line
Reports directly to the Director of Cloud & Infrastructure or Director’s Office.
